Agreement and scope
These Terms of Service govern your use of Cogmenta products that link to them. “Cogmenta,” “we,” and “us” mean Cogmenta, Inc. By accepting these terms when creating an account or enabling a service, you agree to them. If you act for an organization, you must be authorized to do so.
Our Privacy Policy explains how information is handled. A separate signed enterprise agreement governs the deployment it covers where its terms differ. No agreement expands our permitted use of connected account data beyond the applicable provider policies, including Google’s Limited Use requirements.
The service and your account
Cogmenta products help you organize information and receive personalized assistance using content you provide and accounts you choose to connect. Features differ by product and deployment.
Provide accurate account information, protect your sign-in credentials, and tell us if you suspect unauthorized account use. Only connect accounts and provide content you are authorized to use. You remain responsible for the permissions you grant and for complying with obligations to other people whose information you provide.
Your choice of local or hosted use
Installed applications
Connected data stays on your device by default. Enabling hosted AI is a separate choice. When you enable it, you authorize Cogmenta to receive, store, and process the data described in the opt-in for those features, as explained in the Privacy Policy.
Browser applications
Hosted processing is part of our browser service. By starting a hosted home and accepting these terms and the Hosted Data Notice, you choose to have information you provide and data from accounts you subsequently authorize stored and processed on Cogmenta-controlled servers to deliver personalized features.
Creating an account does not grant access to your external accounts. You separately authorize each connection through the relevant provider, including Slack, GitHub, Notion, or Google. Your organization or workspace may also require administrator approval. Accepting these terms does not authorize undisclosed data uses or future model training.
You can withdraw from hosted processing and request deletion as described below. The affected browser and hosted AI features will no longer be available after you do so.
Your content and personalization
You retain your rights in the content you provide. You give Cogmenta permission to process that content only as needed to provide the features you choose, maintain their security, and fulfill the purposes described in the Privacy Policy. This includes creating responses, retrieval indexes, and memories for your experience.
Current personalization uses context, retrieval, and memory. We do not currently train or fine-tune model weights using connected account data. Any future personalized training requires updated disclosures and the applicable consent before it begins. We do not use Google data or its derivatives to train general-purpose models or models shared across users.
Hosted AI processing runs on Cogmenta-controlled infrastructure. Your connected account content is not sent to external AI model APIs for processing.
Connected services
Our current connectors support Slack, GitHub, Notion, Gmail, Google Drive, and Google Calendar. Availability varies by product. Each provider has its own terms, access controls, and availability. The data accessed and its uses are described in the Privacy Policy and the product's connection flow.
- Slack: authorized conversation information and message text for summaries and context.
- GitHub: account and organization activity feeds, including private repository activity when authorized, for development summaries and project context.
- Notion: pages and data sources shared with the connection, including supported properties and top-level text, for retrieval and context.
- Google: authorized Gmail messages and attachments, Drive files, and Calendar information for retrieval, summaries, and personalized assistance.
These connectors currently read information; they do not post messages, modify repositories or pages, send emails, change files, or edit calendar events. Some provider permissions allow broader access than the reads we perform. We use that access only for the disclosed features. Connecting one service does not authorize another.
You may disconnect a service or revoke its authorization. Revoking access stops future access; it does not automatically delete copies already stored by Cogmenta or on your device. A separate deletion action or request removes those copies.
Responsible use and AI outputs
Use the service lawfully. Do not use it to access information without permission, bypass security or access restrictions, distribute malicious code, interfere with other users, or violate another person's rights.
AI responses can be incomplete or incorrect. Review outputs and their source material before relying on them, especially for decisions affecting other people. Personalized assistance does not replace qualified professional advice or your own judgment.
Stopping hosting and deleting data
You can stop using the service, disable hosted processing, or request deletion by contacting support@cogmenta.biz or using the available product controls.
When you disable hosting or request hosted-data deletion, new uploads and hosted AI processing for the affected data stop. Affected hosted source data, stored credentials, indexes, embeddings, and memories are deleted from active systems within 30 days. Remaining backup copies expire within 90 days of the same action or request and are unavailable for ordinary use. The Privacy Policy explains backup recovery, legally required retention, and separate enterprise commitments.
This does not delete your original content in connected services or copies on your device. Deleting your local copies and personal backups remains under your control.
Service and terms changes
We may change features as the products develop. We will communicate material changes that affect how you use the service. We may restrict access where necessary to address misuse, security threats, or legal requirements.
We will notify you of material changes to these terms and ask for renewed acceptance where required. Changes involving new uses of connected account data require the disclosures and consent described in the Privacy Policy. Nothing in these terms limits rights that cannot be waived under applicable law.
